Real Estate automation solutions
We automate the branch admin that eats negotiator and property manager time: referencing chases, compliance certificate tracking, maintenance triage, portal feed hygiene and sales progression. Everything runs around the PMS and CRM you already trust — Reapit, Alto, Street.co.uk or similar — rather than replacing it.
Use cases
- Chases outstanding tenancy references and guarantor forms, flagging stalled applications before the move-in date slips
- Tracks CP12, EICR and EPC expiry dates and books contractor jobs before certificates lapse
- Triages inbound maintenance reports with diagnostic questions and routes genuine emergencies to your out-of-hours contractor
- Audits your Rightmove and Zoopla feeds nightly for stale listings, missing EPCs and price mismatches against the CRM
- Chases solicitors and lenders through sales progression, posting milestone updates to vendors and buyers
- Runs rent arrears sequences from your client accounting data, escalating to the property manager at the set stage
- Matches applicants to new instructions, books viewings into negotiator diaries and sends feedback requests afterwards
- Flags tenancy end dates and drafts renewal terms or Section 13 rent increase paperwork for sign-off
Common workflow problems
- A CP12 renewal books late, the compliance report shows a gap, and it surfaces exactly when the landlord — or a tribunal — asks for the file.
- Sales progression stalls because chasing four solicitors, two lenders and a surveyor is nobody's actual job on a busy Saturday.
- The maintenance inbox treats a dripping tap and a winter boiler breakdown as the same unread email overnight.
- Let-agreed stock still shows available on Rightmove, price reductions lag the CRM, and applicants ring about the wrong properties.
- Referencing limbo: the applicant thinks you have it, you think the referencing provider has it, and the move-in date quietly slips.
How we help
- We connect to your PMS or CRM through its API — Reapit Foundations, Alto, Street.co.uk and equivalents — so nothing is rekeyed into a second system.
- Compliance agents read certificate and tenancy dates from your system of record, open contractor jobs and only close them once the document is filed.
- Every automated chase — tenant, landlord, solicitor, referencing provider — is logged against the property record where your team already looks.
- Anything sensitive escalates to a named person with the file attached: disrepair claims, vulnerable tenants, notices, deposit disputes.
- Hosting is EU-based under a data processing agreement, sized for the ID documents, bank details and right-to-rent data an agency actually holds.
Systems we work with in this sector
We integrate around Reapit, Alto, Jupix, Street.co.uk, Dezrez, Fixflo, Goodlord, PayProp and the Rightmove and Zoopla portal feeds, plus referencing providers where they expose an interface.
Frequently asked questions
- We hold tenants' ID documents, bank details and referencing reports. Where does that data go?
- Processing runs on EU-hosted infrastructure under a data processing agreement, and your data is never used to train models. Each agent reads only what its task needs — a compliance check sees certificate dates, not bank details. Records and audit logs live in your PMS, not ours, so retention stays under your control and your UK GDPR obligations.
- We run everything through Reapit — will this change how the branch works?
- No. We build against Reapit's Foundations API, and the equivalents for Alto, Street.co.uk and Jupix, so negotiators keep working in the screens they know. If a system will not give us proper API access to something, we tell you rather than bolt on a fragile workaround.
- Can it serve notices or decide deposit deductions?
- No, and we would not build that. Possession notices, deposit deductions and anything else with statutory consequence need a human decision on a correctly prepared file — the automation's job is to have the certificates, dates and correspondence ready, not to pull the trigger. The same applies to tenants in obvious distress: those conversations route straight to your team.
- Where do agencies usually start?
- Maintenance triage or compliance tracking, because both are contained and easy to judge: either emergencies reached the right contractor and certificate renewals stopped slipping, or they did not. We scope the first automation against one branch's workload, prove it there, then extend to sales progression and arrears.
